Private Tours Japan – Payment & Cancellation Policy

Thank you for choosing Private Tours Japan. We take pride in offering unforgettable private experiences throughout Japan. To ensure clarity and fairness for all guests, the following Terms & Conditions apply to your booking. By confirming a tour with us, you acknowledge and agree to the policies outlined below.

This policy is divided into two sections depending on the type of tour booked:

  • Section 1: Shore Excursions (Cruise Day Tours)
  • Section 2: Multi-Day Custom Tours

Section 1 – Shore Excursions (Cruise Day Tours)

1. Booking & Payment
1.1 A 25% non-refundable deposit is required to confirm your reservation.
1.2 The remaining 75% must be paid no later than 7 days prior to the tour date.
1.3 If booking within 7 days of the tour, full payment is required at the time of booking.
1.4 Payment must be completed in full before the tour begins. We do not accept payment on the day of the tour.

2. Cancellations
2.1 If you cancel:

  • More than 7 days before the tour date: 25% deposit retained
  • 7 days or less before the tour: 100% of the tour price is retained
    2.2 All cancellations must be submitted in writing via email.
    2.3 Refunds will be issued in Japanese Yen (JPY), less transaction fees.

3. Cruise Ship Cancellations
3.1 If your cruise ship is unable to dock due to weather, mechanical issues, or official changes made by the cruise line, we will issue a full refund, including the deposit.

4. No Refunds for Unused Services
4.1 No refunds will be given for missed activities, early departures, illness, or changes in plans after the tour begins.

5. Travel Insurance
5.1 We strongly recommend travel insurance to cover medical issues, cancellations, and COVID-related disruptions.

Section 2 – Multi-Day Custom Tours

1. Booking & Payment
1.1 A 25% deposit is required to confirm all multi-day bookings. This deposit is non-refundable.
1.2 The remaining 75% must be paid no later than 60 days before the tour start date.
1.3 If booking within 60 days of the tour, full payment is due at confirmation.

2. Cancellations
2.1 If you cancel:

  • 61+ days before tour: 25% retained
  • 31–60 days: 50% retained
  • 15–30 days: 75% retained
  • 0–14 days: 100% retained
    2.2 Cancellations must be submitted in writing.
    2.3 Refunds are issued in JPY, minus bank fees.

3. Force Majeure & Weather Disruptions
3.1 In cases of typhoons, natural disasters, or pandemic-related border closures, we will offer:

  • Rescheduling (at no charge), or
  • A travel credit equal to the amount paid, minus non-recoverable supplier costs
    3.2 If you choose to cancel instead of rescheduling, normal cancellation fees apply.

4. No Refunds for Unused Services
4.1 No refunds are given for early departures, illness, or personal schedule changes once the tour begins.

5. Travel Insurance
5.1 Please secure insurance covering trip cancellation, emergency medical care, delays, and lost baggage.
5.2 We are not liable for costs due to disruptions outside our control.
